Smart Moving Day Tips
Moving day is stressful but payroll doesn’t have to be – here’s some tips from Jenna, Debz and the support crew at AgriSmart:
Communication
The most important thing – and it works all year round too – is communication!
Talk with your team regularly and start talking now.
It’s important to face any difficult conversations as soon as you can – who is staying, who is coming, what people are owed and when it will be paid.
Adding new team members
Prepare now – check your AgriSmart license to make sure you’ve got the ability to add new team members so you’re not stuck one night past our office hours wanting to get it done and can’t! Don’t forget to invite them to AgriSmart – which sends the team member a email about setting their own password.
When you load up your team members, make them effective from the BEGINNING of the first pay period you’re going to pay, even if they start part way through. That makes sure all your calculations are right from the start.
If you have the information to hand but you’re getting stuck, send it to support@agrismart.co.nz and we’ll help.
Prepare early!
The real key to calm is preparation.
If your pay day falls on moving day, don’t stress! If you know all the details of the pay you can close it off when you are ready. The pay day can stay the same or be shifted to an earlier date if that helps to tidy things up.
You’ll also need to prep for departing staff – one of the most common questions we hear is “how do I calculate termination pay?”
There are a few things that you’ll always need to include in that last pay; the goal is to settle any extras that the employee is owed.
You must pay any
*alternate public holidays
*outstanding incentive payments or bonuses
*annual leave still owing
Create a termination pay report and a total leave report nice and early so you can check that leave has been recorded correctly and that you are happy with the value of the final pay.
Check your annual/alternative days reports too as they can show how much leave that employee has left if you want them to take it before the end of their employment.
And that’s our best advice – there’s also some brilliant information on DairyNZ’s site here
