Multi-farm dairy and seasonal workforce operation

For Lewis Farms, managing people across dairy and seasonal operations is one of the most important, and most complex, parts of running the business.

“The biggest challenge in business is staff,” Katherine says. “Employing the right people for the right job, making sure they go home safe every day, and making sure we’re paying them properly.”

Lewis Farms operates two dairy farms alongside a seasonal horticulture business. Across the year, the business manages full time staff, part time workers, seasonal teams, and RSE employees, all with different payroll, compliance, and workforce management requirements.

With changing teams, seasonal transitions, and moving day bringing new onboarding and payroll pressures each year, the business needed a system that could keep workforce records connected, organised, and manageable.

“That in itself is quite complex,” Katherine says. “So we needed something that could just look after us on the payroll side of things.”

In farming, the work is already demanding. Add changing employment legislation, multiple staff types, accommodation arrangements, and the responsibility that comes with paying people correctly, and the pressure builds quickly.

“Being in business is just hard enough as it is, especially in the primary industries,” Katherine says.

“We were looking for something that could grow with us as a business,” Katherine explains. “Something all inclusive and comprehensive.”

“When you can sit down at your desk and have something that’s really user friendly, and offers really good external support, that’s just a no brainer,” Katherine says.

Matakana Berry Co Ltd is a strawberry grower and packhouse based in Matakana, at Omaha Flats. During peak season the business employs around 60 people, so payroll needs to be fast, accurate, and able to cope with the realities of seasonal and RSE work.

Before moving to AgriSmart, payroll was one of the biggest pain points for their business. They were using MYOB, which meant payroll was very hands on. There was a lot of repetitive data entry, manual calculations for minimum wage top ups, and the whole process was slow. During peak harvest, running a pay took a lot of time and focus, right when there were already plenty of other pressures. That frustration was what pushed them to look for something better.

AgriSmart stood out because it was clearly built for horticulture and RSE teams. It was not just another generic payroll system trying to fit a seasonal business. The integrated timesheet system, the removal of spreadsheets for top ups, and how easy it was to onboard returning staff all made a big difference straight away. What really confirmed it was the right fit was seeing how well AgriSmart understood the RSE system, along with how strong and responsive the support team was.

Once in use, the benefits were obvious. Calculating minimum wage top ups became easy, system updates were seamless, and onboarding returning staff was straightforward. Permanent staff could load their own timesheets, and bulk loading timesheets by team saved even more time. Accuracy improved as well, with far less chance of human error. During peak harvest, payroll that used to take two full days could now be completed in around two hours.

The impact on the business was significant. Payroll no longer required extra help during the busiest part of the season, and a large amount of admin time was freed up. That time could be spent on other areas of the business instead of wrestling with payroll. The efficiency, ease of use, and reduction in errors also delivered real cost savings.

When asked what they would say to other growers considering AgriSmart, the answer was simple.

“You won’t regret it. The ease and accuracy of the system, and the cost savings, are huge.”

Looking back, there was only one thing they wished they had done differently.

Elanza Works

Protected cropping strawberry operation

At Elanza works, protected cropping is not a future concept. It is how the business operates today.

The focus at Elanza is on producing more food with less land and less impact, while still running a profitable operation. Sustainability is not treated as a separate initiative. It is part of how the business thinks about production, people, and the wider community.

“We need to produce more and more food for the planet with less area and less impact,” Helio explains. “So we are a very sustainable operation here. We try to be good with nature, good with the community, and also profitable, of course.”

Elanza operates around four hectares of greenhouse strawberries, with roughly 307,000 plants at different stages of production. Staffing levels change constantly through the season, with around 15 permanent staff and anywhere from 20 to 60 casual workers depending on demand.

“That variability is just the nature of the business,” Helio says. “Everything depends on the season.”

The challenge

When Helio started at Elanza, one of the biggest challenges was data.

“When I started here, they didn’t collect data well enough,” he explains.

With hundreds of thousands of plants, changing labour numbers, and fruit moving continuously through the operation, relying on manual processes or disconnected systems made it hard to see what was really happening day to day. Payroll and timesheets were often handled separately, and pulling information together took time.

It also made decision making slower than it needed to be.

Why AgriSmart

AgriSmart stood out because it brought everything into one system.

“The payroll and the timesheet are very, very good because they connect with each other,” Helio says. “Sometimes you have to use a different system for both.”

By connecting timesheets, payroll, production data, costs, and dispatch, AgriSmart removed the need to juggle multiple tools. Information is collected in real time and costs can be allocated accurately as work happens.

“That connectivity between timesheet, payroll, costs, and dispatch helps me a lot,” Helio explains. “I don’t have to use several systems. It’s everything in the same system, so it’s very easy to manage.”

Using AgriSmart day to day

Today, every greenhouse house at Elanza is barcoded. Every picker has a unique label that links their work directly to the crates they pick.

“All the jobs that we perform and all the production that we take from these plants, all the fruit is recorded,” Helio says.

As fruit is harvested, crates are scanned, houses are scanned, and the system records exactly where each crate came from and who picked it. That data then follows the fruit through to dispatch.

“At the beginning I thought people wouldn’t adapt to it,” Helio admits. “But everybody wants to use the phone to scan the stuff. Everybody likes it.”

Consignment data adds another layer of visibility. Crate labels are printed for specific customers and destinations, whether that is Auckland, Christchurch, or Wellington. Over time, that data shows how much fruit is being sent to each market, how quickly it sells, and which markets perform best.

“Down the road, it helps a lot,” Helio says. “I can track which markets are paying better and how long it takes for them to sell the product.”

The impact

The biggest change has been real time visibility.

“For me, real time is essential,” Helio says. “It needs agility in decision making.”

Helio can now see what is happening across the business even when he is not onsite. Production, labour, and dispatch data can all be checked from a phone, without relying on second hand updates.

“Before, if I was away, I had to call someone and ask what was happening,” he explains. “Now I just go on my phone and check the numbers.”

That shift has improved confidence, accuracy, and speed across the operation.

Since implementing AgriSmart, the system has worked extremely well. Real time data is now central to how decisions are made, and Elanza has a much clearer picture of how the business is performing day to day.
